Job Description :
As a Manager, you are responsible for overseeing the academic operations within the Faculty (GSOM). This role involves coordinating academic activities across the school, supporting students, administering academic policies, and ensuring compliance with relevant educational standards and regulations including managing curriculum development and accreditation process in collaboration with Head of Programs. The Academic Manager also acts as a vital liaison between faculty, students, and administration to foster academic excellence and ensure the smooth operation of academic programs.
Academic Programme Management
- Together with Head of Programs, you are to coordinate, monitor the development, implementation, and evaluation of Academic programs and other courses.
- Collaborate with Head of Programme and Programme Coordinator to update and enhance course content and syllabus
- Monitor student progress and implement interventions as necessary.
- Conduct regular reviews and assessments of the Academic programmes
2. Academic Administration and Compliance
- Manage academic policies, procedures, and ensure compliance with legal, accreditation, and regulatory standards (e.g., MQA, MMC).
- Coordinate and oversee programme accreditation processes, including preparation of documentation, liaising with accrediting bodies, and ensuring continuous adherence to accreditation requirements.
- Maintain student records systems and prepare reports on academic performance for internal and external stakeholders.
- Oversee timetabling, examination management, and academic event coordination.
3. Student Support and Communication
- Monitor the students’ progress including exams and work-based assessments.
- Ensure students get their clinical placements 3 months prior with endorsement by Dean and approval by the Hospital’s PIC.
- Address student’s academic concerns and provide timely feedback on student work and exams results.
- Ensure student academic records are accurately maintained and compliant with regulations
- Facilitate discussions with student’s Clinical Supervisors to contribute research input and practical experience in clinical experience.
4. Strategic and Operational Leadership
- Monitor operational efficiency and implement corrective actions as needed.
- Represent the academic department in meetings and committees.
- Manage multiple projects and deadlines in a fast-paced environment
Education:
- Prefarably requires a Diploma or Bachelor’s degree and / or significant relevant experience in managing FOM may be considered.
- 2 to 5 years of experience in academic management or higher education administration.
- Experience in assisting Head of Program to do curriculum development, instructional design, accreditation processes and record keeping always updated and in order.
Knowledge and Experiences:
- Familiar with curriculum development, quality assurance, and accreditation processes specifically related to medical specialist training programmes.
- Thorough understanding of the Malaysian Standards for Medical Specialist Training and Specialty-Specific Requirements (SSR) issued by the Malaysian Medical Council (MMC), including their application in programme design and delivery is advantageous
- Well-versed with the Malaysian Qualifications Agency (MQA) Code of Practice for Programme Accreditation (COPPA) document and its requirements for academic programme quality assurance.
Skills & Competencies:
- Strong communication and interpersonal skills to effectively engage with students, school, clinical educators, and healthcare partners, fostering collaboration and ensuring smooth academic operations.
- Proven ability to develop, implement, and oversee high-quality academic programs and assessment frameworks that comply with accreditation standards and institutional policies.
- Excellent organizational and project management skills, with the ability to coordinate multiple academic programs and initiatives within multidisciplinary teams.
- Skilled in navigating accreditation processes and ensuring ongoing compliance with regulatory and quality assurance requirements.
- Ability to analyse academic data and reports to support continuous quality improvement and strategic decision-making.
Technical skills required
- Basic understanding of performance monitoring systems such as Key Performance Indicators (KPIs) and quality assurance frameworks relevant to academic programmes.
Special skills required
- Knowledge of policy development processes and regulatory environments in higher education, particularly related to accreditation and quality assurance.
- Skilled in organizing and facilitating strategic workshops, consultations, and accreditation-related activities.
